Step 1: fix the trip
Send every operator the same request: dates, number of adults and children with ages, rooms, stay category, the places and the nights in each. A quote answers the question it was asked, so different requests give quotes you cannot compare.
Step 2: line up the elements
| Quote element | What to align | Why it changes the price |
|---|---|---|
| Route and nights | The same places and the same number of nights in each | Each night adds rooms and vehicle days |
| Stay category | The same category, and what it is described as in the quote | Category moves the room cost |
| Property naming | Whether a named property or “similar” is offered | A “similar” property may differ from the one you expected |
| Rooms and occupancy | Number of rooms, bed arrangement, children’s ages | Rooms are the largest part of most quotes |
| Meal plan | Which meals are included | Breakfast only, breakfast and dinner, and room only are priced differently |
| Vehicle | Type, seats, days, and whether it stays with you | Vehicle days and size set the vehicle cost |
| Day-by-day plan | The same sightseeing and the same activities | Extra activities add cost |
| Taxes | Whether the total includes tax | It changes the total by a visible amount |
| Confirmation status | Whether each stay is confirmed or still awaiting the property | A price that is not confirmed may change |
| Terms | Payment, change and cancellation terms in writing | They decide what you can recover if plans change |
Step 3: compare the totals
Once the elements match, compare the totals. If one quote is clearly lower, check whether it leaves something out, using the extra costs checklist. If it still looks lower with the same scope, it may simply be a better price.
When a quote cannot be matched
Ask the operator to restate the quote with the missing items. If an operator will not state what is included, you cannot compare that quote with the others, and that is useful information in itself.
What we put in our own quotes
Our quotes state the property name, dates and nights, room category, occupancy and bed arrangement, meal plan, taxes and charges, confirmed facilities, check-in and check-out terms, change and cancellation terms and whether availability is confirmed. Property names are shared in the quote, not on this website. See how stays are arranged.
Questions This Article Does Not Answer Above
Can you check a quote I have received?
Yes, send it and we will line it up against the checklist and say what is unclear. We cannot judge another operator’s terms, only what the quote says and omits.
Is the cheapest quote the one to take?
Only if the scope matches. A lower price for fewer nights, rooms or inclusions is not a saving.
What does “or similar” mean in a quote?
It means the property named may be replaced by another of the same category. Ask when you will be told which one, and what the standard is.
How many quotes should I compare?
As many as you can match properly. Two quotes lined up well are more useful than five that are not.
